Policies
GENERAL
•A non-refundable deposit is required to secure all appointments. Deposits are applied to your service total.
•All sales are final. We do not offer refunds or
exchanges.
• Clients must be 13 years of age or older to book.
• All clients with existing product from another salon will require a foreign removal in addtion to their booked service.
• This is a private home studio. No additional guests are permitted unless approved in advance.
•Service times are approximate and may vary based on individual needs.
•Food is not permitted during appointments. A complimentary refreshment is provided.
RESCHEDULING, CANCELLATIONS & TARDINESS
•A minimum of 72 hours' notice is required to reschedule without forfeiting your deposit. Rescheduling can be done through your confirmation email.
• Service or add-on changes require at least 72 hours' notice and must be requested by email.
•Changes made within 72 hours will be
charged at full price for the greater service.
• All cancellations result in forfeiture of the
deposit.
• Cancellations made within 24 hours of the scheduled appointment time will be charged the remaining balance of the booked service and must be paid in full prior to booking any future appointments.
• If Hardcastle Nail Bar needs to cancel your
appointment, your deposit will be refunded immediately or transferred to a future booking.
• If you arrive early, please remain in your
vehicle until your scheduled start time. We do not have a waiting area and cannot
guarantee early access.
• A 10-minute grace period is provided. Arrivals later than 10 minutes will result in
automatic cancellation and deposit
forfeiture. Please get in touch if you are running behind.
•Appointments missed without notice (no- call/no-show) require full payment of the missed service before any future appointments can be scheduled. Multiple missed appointments may result in the inability to book future services, at the discretion of Hardcastle Nail Bar.
AFTER-HOURS APPOINTMENTS
•Appointments scheduled outside of regular
studio hours require an after-hours fee equal to double the booked service price, payable in full at booking.
•This fee is non-refundable.
HEALTH, SAFETY & STUDIO VALUES
•If you are feeling unwell, please reschedule your appointment. If illness is observed during your visit, service may be refused and you will be charged the remaining balance of the service.
• We adhere to strict sanitation protocols: masks, fresh gloves, and full disinfection of tools and surfaces between each client using Health Canada-approved disinfectants.
•Single-use items are discarded after each service or provided for you to take home.
•We do not perform services on clients with
nail infections or contraindicated conditions.
•Every 5th structured gel manicure may require a full soak off removal to maintain nail health & product performance.
•Hardcastle Nail Bar is a safe, inclusive space. Hate, discrimination, or disrespect of any kind will not be tolerated.
• We reserve the right to refuse service to anyone, at any time, to protect the safety, comfort, and integrity of our studio.
PAYMENT METHODS

•Accepted: Debit, Visa, Mastercard, Amex,
Apple Pay, Google Pay
• Cash is accepted with exact change only (no cash is kept on hand)
REPAIRS & SERVICE GUARANTEE
•Hardcastle Nail Bar offers a 48-hour service
guarantee from the time of your
appointment.
• Any concerns regarding lifting or service-
related issues must be reported within 48 hours of your appointment.
•Repairs requested within this window will be assessed and, if deemed service-related, corrected at no additional charge.
Repairs due to normal wear, lifestyle factors, accidental damage, improper use or failure to follow aftercare instructions are not covered.
•After the 48 hour window all repairs are considered paid serrvices.
CLIENT ACKNOWLEDGEMENT
•Completion of a client waiver is required prior to service.
•Booking an appointment confirms that you have read, understood, and agreed to all pricing, policies, studio guidelines, and service limitations.
•Failure to comply with studio policies may result in refusal of service and/or permanent booking restrictions, at the sole discretion of Hardcastle Nail Bar.

Enjoy $25 off your 10th service as a thank-you for your continued loyalty. One stamp is earned per visit.

Refer a new client to Hardcastle Nail Bar. Once they attend their first completed appointment, you and your referral will each receive $15 off your next service.
