Compatibility, complete removal, or retention of foreign or residual product cannot be guaranteed. Any lifting, breakage, or performance issues related to previous applications are not covered under the 48-hour service guarantee.
If the add-on is not booked, the appointment may be modified or cancelled.
Rescheduling, Cancellations & Tardiness
Rescheduling:
A minimum of 72 hours' notice is required to reschedule without forfeiting the deposit. Rescheduling can be done through the confirmation email.
Service or add-on changes require at least 72 hours' notice and must be requested by email.
Changes made within 72 hours will be charged at full price for the greater service.
Cancellations:
All cancellations result in forfeiture of the deposit.
Cancellations made within 24 hours of the scheduled appointment will be charged the remaining balance of the booked service. This balance must be paid in full before any future appointments can be booked.
If Hardcastle Nail Bar needs to cancel an appointment, the deposit will be refunded immediately or transferred to a future booking.
Arrival & Tardiness:
The studio does not have a waiting area. Clients arriving early are asked to remain in their vehicle until the scheduled start time.
A 10-minute grace period is provided. Arrivals later than 10 minutes will result in automatic cancellation and deposit forfeiture. Please reach out as early as possible if running behind.
No-shows (missed appointments without notice) require full payment of the missed service before any future appointments can be scheduled. Multiple missed appointments may result in the inability to book future services, at the discretion of Hardcastle Nail Bar.
After-Hours Appointments
Appointments scheduled outside of regular studio hours require an after-hours fee equal to double the booked service price, payable in full at booking.
This fee is non-refundable.
Health, Safety & Studio Values
Clients feeling unwell are asked to reschedule their appointment. If illness is observed during a visit, service may be refused and the client will be charged the remaining balance of the service.
Strict sanitation protocols are followed: masks, fresh gloves, and full disinfection of tools and surfaces between each client using Health Canada–approved disinfectants.
Single-use items are discarded after each service or provided to clients to take home.
Services will not be performed on clients with nail infections or contraindicated conditions.
Every 5th Structured Gel Manicure may require a full soak-off removal to maintain nail health and product performance.
Hardcastle Nail Bar reserves the right to modify, refuse, shorten, reschedule, or discontinue any service when necessary to protect nail health, service integrity, studio standards, and the safety and comfort of everyone in the studio. All policy and service decisions remain at the sole discretion of Hardcastle Nail Bar.

Repairs & Service Guarantee
Hardcastle Nail Bar offers a 48-hour service guarantee from the time of the appointment.
Any concerns regarding lifting or service-related issues must be reported within 48 hours of the appointment.
Repairs requested within this window will be assessed and, if deemed service-related, corrected at no additional charge.
Repairs due to normal wear, lifestyle factors, accidental damage, improper use, or failure to follow aftercare instructions are not covered.
After the 48-hour window, all repairs are considered paid services.
Client Acknowledgement
Completion of a client waiver is required prior to each service. Completion of a client intake form is required prior to the first service.
Booking an appointment confirms the client has read, understood, and agreed to all pricing, policies, studio guidelines, and service limitations.
Failure to comply with studio policies may result in refusal of service or permanent booking restrictions, at the sole discretion of Hardcastle Nail Bar.
